What Happens Next?
I just signed up for Sofie Systems
I'd like to take you through a common scenario of how we will work together to put you in the driver's seat. It's sort of like least we try to make it look that way by making it as effortless as possible for you.

OK, here's how we start...

It helps to do things in stages or phases.

PHASE I: Set up the basic site
The idea here is to rough in the new site so we have something to look at and discuss how to move forward.

We will be working together on three major aspects of your site; your graphic design, navigation scheme and organizational structure. Once agreed upon, these elements will constitute the fixed aspects of your website. That doesn't mean you can't add to the design, navigation and structure can always grow your site without added cost.

Here's what you do...

  • Surf the web looking for sites that you like...sites that fit your design sensibility, navigation needs and organizational structure. Then send the web addresses to us.

  • Create a chart of your organization's structure. We provide you with a skeleton and you fill in the rest.

  • Send us what ever graphics you currently have, i.e. logos, letterhead, photographs that you want used in the site.

Here's what we do...
  • Create a new design scheme from your suggestions.
  • Create a new navigation scheme based on your preferences and organizational structure. Sofie Systems can accommodate most navigation schemes.
  • Transfer the content from your existing site into the new site. Initially it does not matter if the content is out of date. Once it is in place it is a simple matter to update the content.
Here's what we do together...

  • Review the site (usually with several of your staff members on speaker phone)
  • Discuss the design, navigation and structure to get a feel for what you like and dislike.
  • After an hour or so, we should have a good idea of how to turn this draft site into your dream website
The next job is training...
Once we have the site how you want it, we do a little training. This is usually done one-to-one using speaker phones or Skype. We show you how to:
  • Update your front-page News items;
  • Add and delete Calendar Events;
  • Create new Normal Web Pages;
  • Add new Categories;
  • Upload and add images to a page;
  • Upload a PDF and create a link to the PDF;
  • In other words basic web operations.
If you have signed up for the IRON or BRONZE package, we're done. Your site goes live.

Phase II: Add the Human Resources Module
This modular is very rich in functionality and the ability to customize. However, it does take technical expertise to get the most out of it. That is why we prefer to do these final stages of customization.

Here's what you do...
  • Send us a copy of your paper job application form
  • Send us several examples of job listings
  • Send us a list of job categories
Here's what we do...
  • Modify the online application form to represent your questions
  • Customize the applicant reporting system to meet your needs
  • Adjust the Job Listings systems to display as you like it
Here's what we do together...
  • Review all aspects of the Human Resources modular
  • Make the necessary changes, and
  • Train one HR staff member to manage these functions

Phase III: Add the E-Newsletter System

The E-Newsletter module is amazing and for the most part, we make it very simple to use. The only time you should need help from us is when you want a new template. We will be designing one template as part of your quote. It can be in the same design scheme as your new site, or a totally different design. It's up to you.

Here is what you do...

  • Send us a copy of your current newsletter
  • If you do not have one, send us an example of a newsletter you like
  • Send us a list of your members (preferably in CSV format)
Here's what we do...
  • Design the graphics for the E-Newsletter system
  • Set up the basic configuration, i.e. the period and types of content to be displayed
  • Set up the subscriber database and categorize your subscribers
Here is what we do together...

  • Review the E-Newsletter design
  • Make the necessary changes
  • Train someone in your PR department to manage the E-Newsletter mailings

How Long Does It Take?
It can take as long as a month, but two weeks is what we should be aiming for.
